What we collect

  • Booking details. Your name, phone number, email address, the services, technician, date and time you request, and notes you give us. Bookings are made through Square, which also records your appointment history.
  • Payment card details. When your service requires card protection, you enter your card directly into Square’s secure form. We do not see or store your full card number; Square holds it and gives us references we use only under the cancellation policy you agree to at booking.
  • Calls and text messages. When you call or text our business line, we receive your phone number and what you say or write. Our automated assistant, MORGOSE, is an AI assistant that may answer. It will tell you it is the salon’s AI assistant. Call and text content may be transcribed and stored so staff can follow up. We keep content while a case is open or awaiting staff follow-up, then delete it from the active MORGOSE assistant system 30 days after the case closes. Appointment records kept in Square follow Square’s own retention and our legal obligations.
  • Website information. Standard technical data such as browser type and pages visited. Our website does not set cookies of its own for advertising or tracking. Our website host and Square, which provides online booking, may set their own cookies or similar technologies under their own policies.

How we use it

To book, confirm, change and remind you about appointments; to answer your questions; to apply our cancellation and no-show policy; to keep our records; to prevent fraud and abuse; and to meet legal obligations. We do not use your information for advertising to other businesses.

Automated assistant

Calls and texts to our business number may be handled by an AI assistant. It can look up services, hours, prices and availability, and it can send you a link to book through Square. It does not make payments or charge fees. Salon staff can take over a conversation at any time, and you can ask to speak with a person.

Who we share it with

We share information only with the service providers that help us run the salon: Square (bookings and payments), Twilio (phone and text delivery), and the technology providers that host our systems and the AI assistant. They may use it only to provide their service to us. We may also disclose information if the law requires it or to protect the salon and our customers. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

Text messages

If you consent to texts, we send appointment-related messages only. See the SMS Terms section of our Terms & Conditions at https://kalinanails.com/terms. Reply STOP at any time to stop messages.

Your choices

You can ask us to correct or delete your information, or to stop texting you, by contacting us at info@kalinanails.com or by replying STOP to a text. We may need to keep some records (for example, appointment history and tax records) as required by law.

Retention and security

Call and text content remains available while a case is open or awaiting staff follow-up. After the case closes, we delete its content from the active MORGOSE assistant system after 30 days and request deletion of the associated messages and media from Twilio on the same schedule. We retain limited operational metadata separately. We keep the minimal consent and opt-out records while our messaging program operates so we can honor your preferences and demonstrate permission to text you, and longer where required by law. These records are separate from conversation content. Square appointment records follow Square’s retention and our legal obligations.

Encrypted disaster-recovery backups follow a separate retention schedule and may contain earlier copies; restored content is subject to the same cleanup before the assistant resumes. Our current backup schedule keeps daily copies for 14 days, weekly copies for eight weeks and monthly copies for 12 months. Twilio states that deleted message bodies may remain in its backups for up to 30 additional days. Service-provider backup deletion is outside our direct control. We keep other information only as long as needed for the purposes above and our legal obligations. We use reasonable technical and organizational safeguards, but no system is completely secure.

Children

Our website and services are not directed to children under 13, and we do not knowingly collect their information.

Changes

We may update this policy and will post the new effective date here.
